Terms of Service

These terms govern your use of TraderHQ. By creating an account you agree to them, so please read them before signing up. If anything is unclear, email hello@traderhq.co.uk.
What TraderHQ is
TraderHQ is a software platform for UK freelancers and contractors. It provides tools to help you send automated invoice chase emails (Recover), calculate day rates, project quotes and IR35 status (Calculate), view payment analytics (Insights), generate contract templates (Contracts), estimate tax set-aside amounts (Tax), look up UK companies (Companies), and track mileage, expenses and time (Track).
Acceptance of these terms
By creating a TraderHQ account, or by using any part of the service, you agree to be bound by these terms and by our Privacy Policy. If you don't agree with them, please don't use TraderHQ.
Subscription and payment
TraderHQ costs £19 per month, billed via Stripe. New accounts start with a 14-day free trial— no card is required to start the trial, and you won't be charged unless you choose to subscribe. Subscriptions renew automatically each month until cancelled. From time to time we may offer a discounted rate to early or founding customers, locked in for as long as stated when offered; this does not affect the standard price for other customers. We may change our standard pricing from time to time; if we do, we'll give you reasonable notice before it applies to you.
What we don't do
TraderHQ is a software tool, not a professional service. In particular:
- We are not a law firm and do not provide legal representation.
- We are not a debt collection agency — Recover sends chase emails on your behalf, but we don't pursue, negotiate, or collect debts for you.
- We are not regulated by the Financial Conduct Authority (FCA) and do not provide financial advice or regulated financial services.
Disclaimer
Nothing on TraderHQ — including chase email content, contract templates, IR35 assessments, and tax set-aside estimates — constitutes legal, tax, or financial advice. These tools are designed to help you manage routine freelance admin, but they are not a substitute for advice from a qualified solicitor, accountant, or tax adviser. For anything with significant legal or financial consequences, please seek professional advice.
Your responsibilities
As a user of TraderHQ, you're responsible for:
- the accuracy of the invoice, client, and other data you enter — we send chase emails and generate documents based on what you tell us;
- having a lawful basis to hold and process your clients' contact details, and complying with UK GDPR yourself as a data controller for that data;
- complying with all applicable laws in how you use the platform, including when chasing payment or issuing contracts; and
- keeping your account credentials secure.
Limitation of liability
TraderHQ is provided "as is". To the fullest extent permitted by law, we aren't liable for indirect or consequential losses, lost profits, or lost data arising from your use of the service, nor for the outcome of any invoice chase, legal notice, or contract generated using TraderHQ. Our total liability to you for any claim arising from these terms is limited to the amount you've paid us in the 12 months before the claim arose. Nothing in these terms limits liability that cannot be limited by law, such as liability for death or personal injury caused by negligence, or fraud.
Governing law
These terms are governed by the laws of England and Wales, and any dispute arising from them will be subject to the exclusive jurisdiction of the courts of England and Wales.
How to cancel
You can cancel your subscription at any time from your account settings — this stops future billing, and you'll keep access until the end of your current billing period. You can also close your account entirely from the same page; see our Privacy Policy for how long we retain data afterwards.
Changes to these terms
We may update these terms from time to time, for example to reflect changes to the service or the law. We'll update the "last updated" date above, and for material changes we'll notify you by email before they take effect.
